POSITION SUMMARY:    

Reporting to the President and Ultimate Designated Person as well as the Executive Vice-President and Chief Compliance Officer, the Executive Assistant will be responsible for ensuring that the office of the President and Executive Vice-President provides timely responses to all requests related to the operation of the company, including regulatory, compliance and corporate governance requirements. The Executive Assistant will also be responsible for the preparation of executive reports to the Board of Directors of the company, including detailed reports on compliance and financial activities. He or she will act as liaison between the company and head office with respect to HR issues and requests. The Executive Assistant will handle both the President and Executive Vice-President’s agendas and emails and ensure timely responses to all requests directed to them.

DUTIES :

  • Coordinate the agendas of the President and Executive Vice-President;

  • Oversee both agendas, coordinate meetings, travel arrangements, etc.

  • Prepare executive reports on compliance and finance for Board of Director meetings;

  • Coordinate all senior management responses relating to compliance and corporate governance;

  • Prepare corporate governance reports (sub-certifications, reports to iA audit committee, risk management, etc.);

  • Handle all requests from the sales network which have been escalated to the President or the Executive Vice-President;

  • Prepare all communications issued by Senior Management, in French and English;

  • Ensure that the President and Executive Vice-President are fully prepared for all meetings and events;

  • Coordinate with human resources on launch of various initiatives, employee files, salary increases, etc.

REQUIREMENTS:

  • A minimum of 10 years of experience at the executive level

  • Advanced knowledge of French and English, as the person will interact and communicate with employees, colleagues and management, and process documents and correspondence in both languages, on a daily basis

  • Excellent command of Office 365 Suite and its various components, including Outlook, Word, Excel, Powerpoint, Teams and Power BI

    Comfortable working in a Sharepoint environment

  • Excellent judgement

  • Excellent organizational skills

  • Capacity to adapt quickly to changes in priorities

  • Initiative, detail and quality oriented

  • Strong communication skills
